Why Indian payroll goes wrong, and what PayrollPro does about it

Three problems come up in almost every HR team that runs payroll on spreadsheets.

  1. PF and ESIC are calculated by hand

Ceilings change. The EPF wage ceiling moved from ₹15,000 to ₹25,000 on 17 September 2026, and ESIC coverage still depends on a ₹21,000 gross limit. One stale formula repeats on every payslip.

PayrollPro: PF, ESIC, PT and TDS run through one engine. The ceilings are company settings, so a rule change is one edit, not a spreadsheet hunt.

  2. Loss of pay does not match attendance

One sheet divides by 30, another by 26, a third by the days in the month. Two employees with the same absence end up with different deductions.

PayrollPro: You choose the LOP basis once (calendar days, scheduled working days or a fixed month length) and every payslip uses it.

  3. Hourly staff and overtime live in side sheets

Punch logs are copied by hand, lunch breaks are paid by mistake and overtime is priced on a guessed hourly rate.

PayrollPro: Hours come from biometric punches, unpaid shift breaks come off automatically, and overtime follows the multiplier set in your policy.

PF, ESIC, PT and TDS compliance software for India

Statutory deductions calculated on every payslip, from rules you can read and a ceiling you control.

  • PF: 12% of PF wages up to the wage ceiling. The ceiling is ₹25,000 from 17 September 2026 (it was ₹15,000 from 2014) and is a company setting.
  • The employer’s 12% splits into 8.33% EPS and 3.67% EPF. EDLI is 0.5% of PF wages.
  • ESIC: 0.75% from the employee and 3.25% from the employer, for employees whose gross is at or below ₹21,000 a month (the limit is configurable).
  • Professional Tax: state-wise slabs, editable per company. Maharashtra’s ₹300 February month and its exemption for women earning up to ₹25,000 are built in.
  • TDS on salary: new tax regime (section 115BAC) by default, with the old regime available. Monthly TDS follows the projected annual salary.
  • Filing files: EPFO ECR text file, ESIC contribution CSV, Form 24Q text file and a bank disbursal CSV.

PF exampleBasic ₹40,000 → PF wage capped at ₹25,000 → employee PF = 12% × ₹25,000 = ₹3,000

ESIC exampleGross ₹20,000 → employee 0.75% = ₹150, employer 3.25% = ₹650

Loss of pay (LOP) calculation that follows your working-days policy

Pick how a day’s pay is priced once. Every payslip uses that basis and shows it.

  • LOP deduction = monthly gross ÷ LOP basis × LOP days.
  • Three bases: calendar days (the default), scheduled working days, or a fixed month length. The fixed length is workDaysPerMonth, 26 by default.
  • A half day counts as 0.5 LOP day. Days before joining or after exit are prorated on the same calendar.
  • Loss of pay lowers the PF wage and the ESIC wage too, because both are charged on wages actually paid.
  • An imported attendance sheet that states present and LOP days uses its own total as the divisor.

Fixed 26-day basis₹30,000 gross, 2 LOP days → ₹30,000 ÷ 26 × 2 = ₹2,308

Calendar basis (30-day month)₹30,000 gross, 2 LOP days → ₹30,000 ÷ 30 × 2 = ₹2,000

Hourly payroll software with biometric attendance and shift policy

Pay hourly employees for the hours their punches show, with unpaid breaks taken out.

  • Hourly pay = hours worked × the employee’s hourly rate. Hours come from biometric punch logs.
  • On a day with an in-punch and an out-punch, the shift’s unpaid break minutes come off the time between them.
  • Hourly employees have no separate overtime line: every clocked hour is paid at their rate, so nothing is paid twice.
  • For monthly staff, overtime is the hourly rate × your multiplier: 1.5× by default, with separate weekend and holiday multipliers. The hourly rate uses the shift length minus the unpaid break.
  • Biometric punches can be imported. Punches that match no employee are listed so they can be fixed.

Hourly examplePunches 9:00 and 18:30, 30-minute unpaid break → 9.5 h − 0.5 h = 9 h × ₹120/h = ₹1,080

Attendance, leave, payslips and employee self-service in one HRMS

The HR records that payroll depends on live in the same system, so nothing is re-typed.

  • Attendance grid with weekly offs, holidays and shift assignments.
  • Leave policies, balances and approvals, all feeding the LOP count.
  • Payslips, with employees viewing their published payslips in a self-service portal.
  • Recruitment: a careers page, applicant tracking and offer letters.
  • Multi-company: each company is a separate, isolated workspace with its own employees, policies and users, and role-based access inside it.

Payroll and HRMS for manufacturing, FMCG, retail and staffing

These are the workforces where hourly pay, shifts and statutory filings cause the most rework.

  • Manufacturing

Shift rosters, hourly and monthly workers on one payroll, overtime priced from punches, and PF and ESIC applied per employee.

  • FMCG and ice cream

Seasonal and shift-based crews, branch-wise Professional Tax, and attendance that has to match what is actually paid.

  • Retail

Many outlets and states under one company, staggered shifts, weekly offs and late-coming rules in one policy.

  • Staffing

Large headcounts that change every month, joiners and leavers prorated by the day, and clean ECR and ESIC files.

HRMS vs payroll software: what is the difference?

Payroll software calculates and pays salaries. An HRMS manages the employee records and daily HR work that payroll depends on. PayrollPro does both in one system.

Payroll and HRMS questions, answered

What is PayrollPro?

PayrollPro is a cloud HRMS and payroll software for Indian companies. It runs payroll with PF, ESIC, Professional Tax and TDS, tracks attendance and leave, supports hourly employees, and gives employees a self-service portal.

How is PF calculated on salary above the wage ceiling?

PF is 12% of PF wages, and PF wages are capped at the wage ceiling. The ceiling is ₹25,000 from 17 September 2026 and was ₹15,000 before that. An employee with a ₹40,000 basic therefore has a PF wage of ₹25,000 and an employee PF of ₹3,000. In PayrollPro the ceiling is a company setting.

How is ESIC calculated?

ESIC is 0.75% of wages from the employee and 3.25% from the employer. It applies to employees whose gross wages are at or below ₹21,000 a month, and the limit can be changed in company settings. On ₹20,000 gross that is ₹150 from the employee and ₹650 from the employer.

How is LOP (loss of pay) calculated?

LOP deduction is monthly gross divided by the LOP basis, multiplied by the LOP days. You choose the basis in company policy: calendar days (the default), scheduled working days, or a fixed month length, which is 26 days by default. A half day counts as 0.5 LOP day.

Does PayrollPro support hourly employees?

Yes. An hourly employee is paid hours worked multiplied by their hourly rate, and the hours come from biometric punch logs. The shift’s unpaid break minutes are deducted from the time between the in and out punch.

How is overtime calculated, and are unpaid breaks excluded?

For monthly staff, overtime is the hourly rate multiplied by the overtime multiplier, which is 1.5× by default, with separate weekend and holiday multipliers. The hourly rate is based on the shift length minus the unpaid break. Hourly employees are paid every clocked hour at their rate, so there is no separate overtime line.

Which statutory files can PayrollPro generate?

PayrollPro generates the EPFO ECR text file, the ESIC contribution CSV, a Form 24Q text file for TDS, and a bank disbursal CSV. These files are produced from the payroll you have run.

How does PayrollPro handle Professional Tax across states?

Professional Tax uses state-wise slabs, and the slabs are editable per company, so you can correct a rate or add a state without waiting for a software update. Maharashtra’s ₹300 February month and its exemption for women earning up to ₹25,000 are built in.

How is TDS on salary calculated?

Monthly TDS is worked out from the projected annual salary, after the standard deduction and the section 87A rebate that apply to the chosen regime, plus 4% health and education cess. The new tax regime (section 115BAC) is the default and the old regime is available.

How much does PayrollPro cost?

The Core plan is ₹3,499 a month for up to 50 employees, including employee self-service and geo-fenced mobile clock-in. Each employee above 50 is ₹39 a month, so a 100-employee company pays ₹5,449 a month. GST is extra. Geo-tracking and recruitment are optional add-ons.

Can I run more than one company in PayrollPro?

Yes. Each company is a separate workspace with its own employees, policies, payroll and users. Data is not shared between companies, and access inside each one is controlled by roles.
